Many employees unknowingly end up with more than one Universal Account Number (UAN) during their careers, particularly when changing jobs. While a UAN is designed to be a lifelong identifier for your Employees' Provident Fund (EPF) account, duplicate numbers can arise, creating significant hurdles for provident fund transfers, withdrawals, and pension claims. Consolidating these accounts under a single active UAN is crucial for efficient management of your retirement savings.
Why Do Duplicate UANs Occur?
A UAN is a unique 12-digit number meant to remain constant throughout an employee's working life, irrespective of job changes. Each new employer assigns a new Member ID, but these should ideally link back to the existing UAN. However, duplicate UANs can be generated due to several reasons:
- Employer Error: A new employer might mistakenly generate a fresh UAN instead of linking the employee's existing one.
- Incomplete KYC Details: Mismatches or incomplete Know Your Customer (KYC) details such as Aadhaar, PAN, or date of birth can sometimes lead to the creation of a new UAN.
- Administrative Lapses: General administrative oversights within the system can also contribute to duplicate entries.
If left unaddressed, multiple UANs can complicate the transfer of PF balances between accounts, delay final settlements, and even impact eligibility for certain pension benefits.
How to Merge Your Multiple UANs
The Employees' Provident Fund Organisation (EPFO) provides streamlined methods for merging duplicate UANs, ensuring all your PF accumulations are consolidated into one active account:
1. Email Request to EPFO
The simplest method is to email the EPFO at uanepf@epfindia.gov.in. In your email, clearly state both your active UAN and the duplicate UANs you wish to merge. After verification, EPFO will block the older, duplicate UANs, retaining the latest active one. You can then submit an online transfer request to move the PF balance from the deactivated accounts to your active account.
2. Employer-Initiated Transfer
You can also request your current or previous employer to initiate the UAN merging process. During the verification, the EPFO system will identify the duplicate UANs, deactivate the older ones, and link your previous Member IDs to your active UAN. This method ensures that all past PF accumulations are automatically consolidated.
3. Utilizing the EPFO 3.0 Portal
The revamped EPFO 3.0 portal offers enhanced features for account management:
- Member Service History: Under the 'Online Services' section, this feature allows you to view all your employment records, corresponding Member IDs, and the status of previous transfer claims.
- Service Transfer Claim (Form 13): If an old PF account has not been transferred, you can submit a Service Transfer Claim directly through Form 13 on the portal.
- Request for Transfer of Account: Alternatively, use the 'Request for Transfer of Account' option under the 'Online Services' menu to initiate the transfer process.
Benefits of Merging Your PF Accounts
Consolidating your PF accounts under a single UAN offers numerous advantages:
- Easier Management: Simplifies tracking and managing your entire retirement savings corpus.
- Higher Withdrawals: Improves eligibility for higher advance withdrawals or final settlement amounts, as your total service period and balance are unified.
- Continuous Service History: Preserves an uninterrupted service record, crucial for qualifying for Employees' Pension Scheme (EPS) benefits, which typically require at least 10 years of eligible service for a monthly pension.
- Avoids TDS Issues: Helps prevent tax deducted at source (TDS) problems that can arise with premature PF settlements across multiple accounts.
- EDLI Coverage: Ensures uninterrupted coverage under the Employees' Deposit Linked Insurance (EDLI) Scheme, which provides insurance benefits up to ₹7 lakh to eligible EPF members.
Important Checks Before Initiating a Transfer
Before proceeding with any UAN merger or PF transfer request, EPFO advises members to ensure that all their KYC details linked to the UAN are updated. This includes your Aadhaar number, PAN, bank account details, and mobile number. While the EPFO portal undergoes upgrades, some online services may experience temporary delays. You can monitor the progress of your transfer request via the 'Track Claim Status' option on the EPFO member portal to confirm that all previous PF balances are successfully merged into your single active account.
